What are managed IT services? A plain-English guide

Every provider says managed IT services, few explain it. Here is what it actually means and what you get.

Managed IT services is the phrase most providers use to describe what they do, ours included, but it is rarely explained in plain terms. So here is the straight version of what it means and what you actually get.

In short: managed IT services means an outside provider looks after your technology for an agreed monthly fee, instead of you fixing things reactively or relying on one stretched person in-house. It typically bundles a helpdesk, monitoring and maintenance, cyber security, Microsoft 365 and backups into one predictable cost. Here is what it covers, what “fully managed” means, and why most growing firms move to it.

Key takeaways

  • Managed IT services means a provider runs your IT for a predictable monthly fee, rather than charging per fix.
  • It usually bundles a helpdesk, monitoring, maintenance, cyber security, Microsoft 365 and backups.
  • “Fully managed” means they own the whole lot; “co-managed” means they support an in-house person.
  • The shift is from reactive break-fix to proactive support that prevents problems.
  • For most firms of small businesses up to 100 staff it is cheaper and more reliable than hiring in-house.
What managed IT services usually include: a real UK helpdesk, monitoring and maintenance, cyber security built in, Microsoft 365 and cloud, backup and disaster recovery, IT strategy and vCIO input

What are managed IT services?

Managed IT services is an arrangement where you outsource the running of your technology to a specialist provider, known as a managed service provider or MSP, for an agreed monthly fee. Rather than calling someone only when something breaks and paying by the hour, you pay a predictable amount and they keep everything working: the day-to-day support, the behind-the-scenes maintenance, the security and the planning. The model exists because reactive, pay-per-fix IT is stressful, unpredictable and tends to mean problems are only dealt with after they have already cost you time.

What does “fully managed” mean?

You will see two main flavours. Fully managed means the provider takes responsibility for all of your IT: support, security, updates, strategy, the lot. Co-managed means they work alongside an in-house person or team, covering the bits you do not have time or specialist knowledge for, such as cyber security or cloud projects. Most small firms without their own IT person go fully managed; larger ones with some in-house capability often co-manage. Either way, the point is clear ownership, so nothing falls through the cracks.

What is included in managed IT services?

It varies by provider, so it is worth checking, but a good managed IT service usually includes:

  • A real UK helpdesk your team can actually ring.
  • Proactive monitoring and maintenance, so issues are caught early.
  • Cyber security built in, not sold as an endless add-on.
  • Microsoft 365, email and cloud, set up and secured properly.
  • Backup and disaster recovery that is tested, not assumed.
  • IT strategy and budgeting input, so technology supports your plans.

The thing to watch for is what is genuinely included versus what is billed extra. We set ours out clearly on the pricing page.

Why do businesses use managed IT services?

Because it is usually cheaper and more reliable than the alternatives. A full managed service gives you a whole team’s worth of cover, support, security, projects and strategy, for less than the cost of one in-house hire, and without the gaps that appear when that one person is off or out of their depth. It also turns IT from an unpredictable expense into a fixed monthly cost you can budget for. For a related piece on the security side, see our guide to managed cyber security.

Frequently asked questions

What is the difference between managed IT services and break-fix?

Break-fix means you call someone and pay each time something breaks. Managed IT services is a predictable monthly fee for ongoing, proactive support that aims to prevent problems in the first place.

What does an MSP stand for?

Managed service provider. It is the company that runs your IT for you under a managed service agreement.

What is the difference between fully managed and co-managed IT?

Fully managed means the provider looks after all of your IT. Co-managed means they support an existing in-house person or team, covering the areas you do not have time or specialist skills for.

How much do managed IT services cost?

Usually a predictable amount per user per month, with Microsoft 365 management on top. For most small firms it works out cheaper than an in-house hire. See our pricing page for specifics.

Is cyber security included in managed IT services?

With us, yes, security is built in by default rather than sold separately. Always check with any provider exactly what security is included, as it varies.
