They are either paying for apps and security they will never use, or they are paying too little and quietly missing the protections that keep their data safe. The right licence for a small businesses up to 100 staff business in Lichfield, Tamworth or anywhere across Staffordshire usually comes down to one of three Microsoft choices, and a quick conversation about how your team actually works.

Why the right Microsoft 365 licence matters more than you think
If you run a business in Lichfield, Cannock, Burton, Sutton Coldfield or anywhere across the Midlands, your Microsoft 365 tenant is the centre of everything. Email, files, Teams calls, your calendar, your client documents, your phone system in many cases. Get the licence right and the whole thing quietly works. Get it wrong, and you are either bleeding cash on shelfware or one phishing email away from a very bad day.
I see three patterns every month.
Pattern one: the business signed up for the cheapest licence years ago, has 20 staff now, and is still on Business Basic with no real cyber security. They are exposed and they do not know it.
Pattern two: the business is on Business Standard, has bought Defender and Intune separately, and is overpaying versus what Business Premium would have cost them in one bundle.
Pattern three: the business has 30 office staff and 40 warehouse staff, but all 70 are on the same Business Standard licence, paying twice what they need to for the 40 warehouse staff who only check email on a phone.
The fix in every case is the same conversation, in this order: what do people need to do, where do they work, and how much risk are we carrying.
What the main Microsoft 365 licences actually do
Microsoft 365 is sold as a stack. Each licence bundles three things together:
- Functionality and services. Email, Teams, OneDrive, SharePoint, Intune device management, Defender threat protection. Some licences include the lot. Some include almost none.
- Apps. Word, Excel, PowerPoint, Outlook, Teams. Some licences only give you the web and mobile versions. The desktop apps you install on a laptop are unlocked at higher tiers.
- Security and compliance. Multi-factor authentication baseline, conditional access, data loss prevention, device encryption, threat detection, audit logging. The biggest jump in security comes when you move from Business Standard to Business Premium.
I will walk through each licence below in that exact order. Prices are approximate UK monthly prices per user as of May 2026 and change from time to time, so always check the latest figures on the Microsoft site or with your IT partner.
Exchange Online Plan 1: just an email mailbox
Roughly £3.72 per user per month (RRP).
Note: regular shared mailboxes are FREE in Microsoft 365 up to 50GB. They do not need an Exchange Online Plan 1 licence. You only reach for this licence when a real person wants their own small mailbox without the Office apps, or when a shared mailbox genuinely needs more than 50GB.
Functionality and services: This is email only. A 50GB Exchange Online mailbox, a calendar and Outlook on the web. No Teams. No OneDrive. No SharePoint. No Intune. No Defender. No Office apps.
Apps: Outlook on the web. You can configure it in the desktop Outlook app you already own if your team has one, but the licence itself does not include any Office apps.
Security: Microsoft’s standard mailbox-level protection only. Spam, malware scanning, basic anti-phishing. Nothing more. No multi-factor enforcement in the licence, no conditional access, no Defender for Office 365 unless you bolt it on separately.
Who it fits: a freelancer who just wants a business email address; a part-time employee who only needs email; a shared mailbox that genuinely needs more than 50GB or advanced features. Note: regular shared mailboxes (accounts@, info@) are FREE in Microsoft 365 up to 50GB and do not need a licence at all. Same goes for a leaver’s mailbox converted to shared.
Who it does not fit: anyone who needs to share files, run Teams calls or use the Office apps.
Microsoft 365 F1: web-only email and Teams for frontline staff
Roughly £2 to £3 per user per month.
Functionality and services: Exchange Online with only a 2GB mailbox, Teams, OneDrive (2GB), SharePoint access, plus a couple of Microsoft 365 services like Viva Engage and Stream. No Power BI. No Office desktop apps.
Apps: Web and mobile Office only. No installable desktop versions of Word, Excel or PowerPoint. No installable Outlook for desktop either.
Security: Some baseline. No Intune. No Defender. No conditional access in the licence itself.
Who it fits: rare. F1 is really tight. It is built for staff who barely use email and mainly join Teams meetings on a shared device.
Who it does not fit: anyone with their own desk and laptop. For almost every “frontline” use case I see in real businesses, F3 is the better choice.
Microsoft 365 F3 Frontline: the hidden gem for warehouse, shop floor, hospitality and part-time staff
Roughly £7.44 per user per month (RRP).
This is the licence I push hardest when a business has a mix of office and frontline staff. It is genuinely under-used in UK SMBs and it can save you a lot of money.
Functionality and services: Exchange Online (a 2GB mailbox), Teams, OneDrive (2GB), SharePoint, Stream, Viva Engage, plus Intune for mobile device management and basic Defender for Office 365. That is a properly capable bundle.
Apps: Web and mobile Office apps (Word, Excel, PowerPoint, Outlook, Teams). No installable desktop apps. Most frontline staff do not need them; the web versions are more than enough for a quick email or a Teams call.
Security: Decent. You get Intune, conditional access, multi-factor and the basic Defender for Office 365 threat protection. You can layer Microsoft 365 E5 Security on top if you really need to, but most frontline staff do not.
Who it fits: warehouse staff, site engineers, shop floor staff, hospitality staff, retail teams, part-time staff with a small mailbox, anyone on a shared device or who works mainly from a phone. The 2GB mailbox is the catch. If they get more than a couple of hundred emails a month, the mailbox will fill up and you will have to move them up a tier.
Real example: a 60-staff manufacturing business near Tamworth had everyone on Business Standard at around £10 a user. Half of them were on the shop floor and only used email on a phone. Moving the 30 shop floor staff to F3 saved the business around £1,200 a year, without anyone losing a feature they actually used.
If you have any frontline staff at all, F3 is worth a serious look.
Microsoft 365 Business Basic: the bare-minimum office licence
Roughly £5 to £6 per user per month.
Functionality and services: Exchange (50GB mailbox), Teams, OneDrive (1TB), SharePoint. No Intune. No Defender. No installable Office apps.
Apps: Web and mobile Office apps. No installable desktop apps.
Security: Baseline. Multi-factor is available, but Defender for Business and Intune are not.
Who it fits: very small teams (5 to 10 people) who are happy in the browser, never edit a complex spreadsheet, and are not yet worried about cyber security. Honestly, in 2026, that is a small group. For almost every business with anything to lose, Business Basic is no longer enough on its own.
Microsoft 365 Business Standard: full Office apps, but limited security
Roughly £10 to £12 per user per month.
Functionality and services: Everything in Business Basic, plus the proper installable desktop Office apps. So Word, Excel, PowerPoint, Outlook and Teams installed on the user’s laptop, the way most of us still prefer to work.
Apps: Full installable Office desktop apps, plus the web and mobile versions. Up to five devices per user.
Security: Same as Business Basic. No Defender for Business. No Intune. No Microsoft Purview for data protection. This is the licence most SMBs are on, and most of them have no idea their cyber security is the same as the cheapest tier.
Who it fits: a business of any size that wants the full Office desktop experience and is layering its security and device management in some other way (your IT partner is paying for a separate cyber stack). If you are not doing that, you are exposed.
Microsoft 365 Business Premium: our preferred licence for UK SMBs
Roughly £22 per user per month (RRP £21.72).
This is the licence we put almost every Initial IT client on. It is the only SMB tier that bundles Microsoft 365 with proper cyber security and device management built in. For a Lichfield law firm, an accountancy practice or any small businesses up to 100 staff business that holds real client data, it is the safest place to start.
Functionality and services: Everything in Business Standard, plus Microsoft Intune (device management), Microsoft Defender for Business (threat protection), Microsoft Entra ID P1 (advanced identity and conditional access), Microsoft Purview Information Protection (data classification and rights management), Microsoft Defender for Office 365 Plan 1 (safe links and safe attachments), and Windows 11 Pro upgrade rights.
Apps: Full installable Office desktop apps, web and mobile. Five devices per user.
Security: This is where Business Premium earns its money. You get conditional access policies (only allow sign-in from a known device, or only from the UK), full mobile and laptop encryption and remote-wipe via Intune, AI-driven threat detection across email and endpoints, automatic safe link rewriting for risky URLs, rights-protected emails so a forwarded confidential email cannot be opened by the wrong person, and a proper audit trail. It is also the licence that gets a Cyber Essentials assessor smiling.
Who it fits: almost every UK SMB of small businesses up to 100 staff. Especially law firms, accountancy practices, healthcare businesses, financial services and family-owned firms with client data to protect. It is the most cost-effective way to comply with Cyber Essentials, the SRA’s technology expectations, ICAEW guidance and the various sector-specific data rules. If you are weighing this up for your Lichfield, Tamworth or Burton business, this is the licence we will probably recommend.
Maximum 300 users. Above 300 staff, you move to Microsoft 365 E3 or E5 enterprise, which is a different conversation.
Microsoft 365 Copilot: the AI add-on
Bundled with Business Premium: £34.91 per user per month (RRP). Standalone: £19.32 per user per month (RRP) on top of a qualifying licence.
Copilot is not a standalone licence. It is an add-on that lives on top of Business Standard, Business Premium or one of the enterprise tiers.
Functionality and services: Copilot inside Word, Excel, PowerPoint, Outlook and Teams. Summaries of email threads, first drafts of documents, summaries of meetings you missed, a chat that answers questions using your own business data inside SharePoint and OneDrive.
Apps: Copilot lives inside the Office apps you already use. There is also a separate Microsoft 365 Copilot Chat web and mobile app for general questions.
Security: the bit nobody mentions on the demo. Microsoft 365 Copilot keeps all your data inside your tenant. Your prompts, your files and the answers it generates are not used to train public AI models. That is the single biggest reason to use Microsoft 365 Copilot rather than a public AI tool like ChatGPT for any business work that involves real client data. Public AI tools eat the data you paste into them. Copilot does not.
Who it fits: a business already on Business Premium (or moving to it) that wants safe, productive AI for office staff. Especially handy for law firms drafting documents, accountants summarising tax legislation and any business writing a lot of email.
Who it does not fit: businesses that have not yet sorted out their data governance. Copilot reflects whatever your SharePoint and OneDrive permissions allow. If your old SharePoint has every file shared with everyone, Copilot will happily surface the wrong file to the wrong person. The fix is a quick governance pass before you turn Copilot on, which we include in every Copilot rollout we do.

Which Microsoft 365 licence should you choose?
Three quick rules that fit nine out of ten UK SMBs we onboard.
- Your office and desk-based staff: Business Premium. It is the only SMB tier with proper data protection, device management and threat protection bundled together. Cheaper than buying the same things separately. The right starting point for any Lichfield, Staffordshire or West Midlands business that holds real client data.
- Your frontline, shop floor, warehouse, hospitality or part-time staff: F3. Cuts the bill by more than half versus Business Standard, gives them Teams and Outlook on the phone, and keeps Intune device management in the bundle. Watch the 2GB mailbox limit.
- Shared mailboxes (
accounts@,info@): free. Microsoft 365 includes shared mailboxes at no extra cost up to 50GB. No licence needed. The only time you reach for Exchange Online Plan 1 is for a real person who wants their own small mailbox without the Office apps, or a shared mailbox that genuinely needs more than 50GB.
For Microsoft 365 Copilot, the honest answer is: wait until your data is tidy and you are ready to train your team. Then add it on top of Business Premium.

Yes, and most UK SMBs we look after do. A typical setup is Business Premium for office staff, F3 for frontline staff, and free shared mailboxes wherever you need them (no licence required up to 50GB). You pay only for what each person actually needs.
Is Microsoft 365 Copilot safe to use with client data?
The Microsoft 365 Copilot add-on keeps your prompts, your files and the answers inside your Microsoft 365 tenant. It does not use them to train public AI models. That makes it safe for client work, provided your SharePoint and OneDrive permissions are tidy first. Public AI tools like ChatGPT do not give you that guarantee.
