If you run or manage a law firm, your IT is not just another line on the overheads. It sits underneath every matter you handle, every confidential file you store, and every deadline you cannot afford to miss. When it works, you barely think about it. When it does not, it stops being an IT problem and quickly becomes a client problem.
I am Andy, and we look after IT for professional firms across Lichfield and the Midlands. Law firms tend to ask me the same handful of questions, so here are honest answers: what good IT support for a law firm actually includes, what it should cost, and how to tell a good provider from a poor one before you commit.
In short: a law firm needs an IT provider that understands SRA and Lexcel obligations, secures client data by default and can prove it, not a generic break-fix shop. Below is what good looks like, what it should cost, and the exact questions to ask before you switch.
Key takeaways
- A law firm’s IT carries extra weight: client confidentiality, SRA expectations, GDPR, and case files that cannot go missing.
- Good support means security and tested backup as standard, not expensive extras you have to remember to ask for.
- The right setup gives fee earners time back, through fast support, secure document handling and digital dictation.
- Expect a clear per-person monthly price you can compare, not a vague annual quote.
- You can ask any provider hard questions before you move, and the good ones will welcome them.

Why a law firm’s IT is not like everyone else’s
Most small businesses can shrug off an hour of downtime. A law firm often cannot. You are holding privileged client information, you have duties under the SRA Standards and Regulations, and a single lost or leaked file can turn into a regulatory problem as well as a reputational one.
That changes what good IT means for you. It is not only about computers that switch on in the morning. It is about keeping confidential information confidential, being able to prove you can recover it, and showing clients and your insurers that you take it seriously. The stakes are higher than for a typical business of your size, and your IT needs to reflect that rather than treat you like any other office.
What good IT support for a law firm actually includes
When I look at a firm’s setup, here is what I expect to see as standard rather than as paid extras:
Security built in from the start. Multi-factor authentication on every account, encryption on devices, and access controls so people can only reach the matters they should. For most firms this lives inside Microsoft 365, which we cover on our Microsoft 365 page.
Backup you can actually rely on. Not just a vague promise that things are backed up, but backups that are tested, with a restore someone has proven works. The question is not whether you have a backup, it is whether you have ever got your data back from one.
Secure document handling and dictation. Fee earners lose hours to admin, and a lot of that is recoverable. Secure document storage that works with your case management system, and digital dictation that turns talking into typed attendance notes, gives that time back. We wrote a separate guide on digital dictation for law firms if that is a sore point for you.
Security as a baseline, not a bolt-on. Confidentiality runs through everything a firm does, so we treat it the same way. Our cyber security page sets out the protection we put on every client by default.
A support line you can actually reach. When something breaks before a court deadline, you need a person, not a ticket number sitting in a queue. Ask any provider how you reach them and how quickly a real human responds.
The compliance angle, in plain English
You do not need to become a security expert, but a few things are worth understanding because clients and regulators increasingly ask about them.
GDPR still applies to every client record you hold, and the Information Commissioner’s Office (ICO) expects you to keep that data secure and to know what to do if something goes wrong. The SRA (sra.org.uk) expects competence and confidentiality, which in practice means your systems and your people both need to be up to the job.
Cyber Essentials is the one to know about. It is a government-backed scheme (NCSC) that certifies you have the basic controls in place, and more and more clients, panels and insurers now ask for it. It is a sensible floor to aim for. Be honest with yourself though: it is a baseline, not the finished job, and a certificate on the wall is not the same as being genuinely well protected.
What IT support for a law firm should cost
Here is the part most providers are vague about, so I will not be. We price per person, per month, which makes it easy to compare and easy to budget as your firm grows. Our tiers are £47, £67 and £107 per person per month depending on the level of support and security you need, plus £100 per company per month to manage your Microsoft 365 tenant. You can see exactly what sits in each tier on our pricing page.
Why per person rather than a single annual figure? Because a flat quote hides what you are actually getting and makes firms of different sizes impossible to compare. A per-person price tells you the real cost of looking after each member of your team, and it scales cleanly when you take someone on. If a provider will not give you a clear per-user number, that tells you something.
The questions to ask any provider before you switch
You are allowed to interview an IT provider properly, and the good ones will be glad you did. These are the questions I would ask if I were in your seat:
When something breaks, how do I reach a real person, and how fast will they respond? Is security included in the price, or is it an extra I have to ask for? Do you test your backups, and can you show me a restore actually working? Have you looked after law firms before, and do you understand SRA expectations and client confidentiality? What happens to my data and my access if I decide to leave you? And is there a long contract, or can I move if it is not working?
If a provider gets defensive about any of these, that is your answer. Honest firms are happy to be held to account, because being held to account is the job.
Looking after law firms in Lichfield and across the Midlands
We are a small, founder-led team based in Lichfield, looking after firms across Staffordshire and the wider Midlands. That means when you ring, you get someone who knows your setup, not a stranger reading from a script. We keep things simple, secure and personal, and we would always rather tell you the honest answer than the one that wins us a sale.
If your current IT feels like a risk you are quietly carrying, it does not have to. You can see how we look after firms on our IT support for law firms page, or book a free 30-minute call and we will give you a straight view of where you stand.
Frequently asked questions
How much does IT support for a law firm cost?
We price per person, per month, with tiers at £47, £67 and £107 depending on the support and security you need, plus £100 per company per month to manage your Microsoft 365 tenant. A small firm can work out its likely monthly cost in a couple of minutes from our pricing page, and we will always give you a clear figure before you commit.
Is our firm too small for managed IT support?
No. We work with firms from a handful of people upwards. Smaller firms often benefit most, because you carry the same confidentiality and compliance duties as a large practice but without an in-house IT person to lean on. The point of managed support is to give you that backup without the cost of a full-time hire.
Do you understand SRA and client confidentiality requirements?
Yes. Confidentiality and reliable record-keeping shape how we set up everything, from access controls to backups. We are used to working with professional firms where keeping client information secure is not optional, and we will happily talk through how that maps onto the way you work.
Is switching IT provider disruptive?
It does not have to be. A good move is planned around your working week, with the cutover handled quietly in the background and someone on hand if anything wobbles. We will tell you honestly what is involved for your firm before you decide, so there are no surprises.
Do you work with our case or document management system?
In most cases, yes. We work alongside the systems you already rely on rather than forcing you to rip them out, and we make sure your documents are stored and backed up securely around them. Tell us what you use and we will tell you straight whether we can support it.
