Do I have to use my personal phone for multi-factor authentication?

Only if you do not have a company-issued one. Microsoft Authenticator does not store any of your work data on the phone. It only generates a random number to confirm sign-ins. If you would rather not put work apps on a personal phone, using Authenticator alone is enough to satisfy the MFA requirement.

Question 2

What happens if I lose my phone or get a new one?

Accepted Answer

Contact Initial IT before you try to set MFA up on the new phone. We will reset your MFA on the account first, otherwise you will end up locked out. Do not skip this step; it exists to stop someone else who finds your old phone from pretending to be you.

Can I use a hardware key or a different authenticator app instead of Microsoft Authenticator?

Accepted Answer

Yes, most Microsoft 365 tenants support hardware security keys (like a YubiKey) and other TOTP apps such as Google Authenticator or Authy. Microsoft Authenticator is the smoothest experience because it can approve sign-ins with a single tap. If you need a different option, ask your IT team and they can enable it.

I already have a personal Microsoft account. Will it clash with my work Microsoft 365?

No. Personal Microsoft accounts (used for Xbox, Hotmail, OneDrive Personal) are separate from work accounts. On a phone you will see both listed when you sign in to apps like Outlook. On a computer, you can be signed into both at the same time in different browser profiles.

How often will I have to approve a sign-in on my phone?

Usually only when you sign in from a new device, a new location, or after a set period of time. On your normal work laptop you might only see the prompt every few weeks. If Microsoft detects anything unusual about the sign-in (a new country, a new browser, a strange time of day) it will prompt more often.

Can I set up MFA on more than one phone or device?

Yes. Microsoft Authenticator lets you add the same account to multiple devices, which is useful if you have a work phone and a tablet. Add each one through the same 'add account' process and scan a fresh QR code each time. Do not share the setup with anyone else.

Does Microsoft Authenticator work without an internet connection?

The push notification (the 'tap Yes to approve' prompt) needs the internet. If you have no signal, open the Authenticator app directly. It also shows a six-digit code that changes every 30 seconds, which you can type into the sign-in prompt manually. That code works offline.

Chrome, Edge, Firefox and Safari all support MFA and every Microsoft 365 web app. Some Microsoft features (like Copilot in the sidebar of Edge) are Edge-only, but for signing in and using Outlook, Teams and Office on the web, use whichever browser you prefer.

How do I know if a sign-in request on my phone is real, or someone trying to break into my account?

Accepted Answer

Every genuine sign-in prompt shows the exact same two-digit number that appears on the computer you are signing in from. If you did not just try to sign in, do not approve the prompt. Tap 'No, it's not me' or ignore it entirely, then contact Initial IT. A prompt appearing when you were not signing in is almost always someone else trying to get into your account with your password.
